Location: Grundy County, Tennessee (On-Site & Event-Based)

Position Summary

The Artist/Crew Relations & Vendor Manager serves as the primary liaison between the venue and artist representatives, overseeing all aspects of artist and crew hospitality. This role is responsible for planning, coordinating, and executing hospitality services in alignment with artist contracts and event needs. This position works intimately with the venue’s Production Manager and General Manager.

The position requires a highly organized, service-oriented professional who can anticipate needs, manage multiple priorities, and deliver an exceptional experience for artists and their teams in a fast-paced live event environment.

Key Responsibilities

1. Pre-Event Planning & Coordination

  • Review event offers and contracts to understand hospitality requirements, budgets, and obligations for each event

  • Initiate communication with artist representatives at least 30 days prior to each event to advance hospitality needs

  • Collaborate with the Production Manager and internal teams to align on event logistics

  • Coordinate artist and crew accommodations, including hotel bookings and transportation arrangements

  • Plan and order catering, crew meals, and hospitality items in accordance with artist riders and budgets

  • Coordinate and schedule event staff, including runners, hospitality support & other vendors

  • Procure and organize all artist rider items in advance of each event

2. Onsite Artist & Crew Relations

  • Along with the Production Manager, this position serves as the primary point of contact for artist teams upon arrival and throughout the event

  • Provide a welcoming, professional environment and ensure all hospitality needs are met

  • Oversee artist spaces, including dressing rooms and backstage areas, ensuring they are clean, stocked, and properly maintained - always looking for ways to improve the space

  • Coordinate artist and crew movement throughout the venue, including transportation and access to key areas

  • Address and resolve any hospitality-related requests or issues in real time while they are on-site

  • Support guest list / credential-related requests as needed and coordinate backstage parking needs

  • Participate in pre-event briefings, including security meetings

  • Coordinate rentals such as tents, RVs, tables, chairs, and other event-related equipment as needed

  • Coordinate purchasing sold out gifts/rocks and artist gifts as needed

  • Manage hospitality staff as needed for larger events & long weekends

3. Hospitality Operations & Inventory

  • Manage craft services, beverages, and hospitality inventory for each event for crew

  • Manage and facilitate catering for the production crew as required, prioritizing punctual service and strict adherence to established budgets and dietary needs

  • Track and distribute food vouchers and other hospitality resources as needed

  • Maintain a high level of organization and cleanliness of all artist and crew areas throughout event execution

  • Oversee load-in and load-out hospitality needs, including setup and breakdown

5. Post-Event Reconciliation & Reporting

  • Track and document all hospitality-related expenses for each event - submit estimated expenses prior to each event for pre-settlement

  • Submit detailed expense reports and supporting documentation to accounting and settlement teams

  • Maintain organized records of receipts, invoices, and purchase notes for reconciliation and audit purposes

  • Review and approve vendor invoices in a timely manner

  • Collaborate with accounting to ensure timely and accurate event settlements

Qualifications

  • 2–3 years of experience in live event planning, hospitality, artist relations, or a related field preferred

  • Strong organizational and multitasking skills with high attention to detail

  • Excellent interpersonal and communication skills, with a customer-service mindset

  • Ability to problem-solve quickly and remain calm under pressure

  • Proficiency in spreadsheets and basic budgeting/expense tracking

  • Willing to live within 30 miles of the venue and preferably close to shopping options

Work Environment & Expectations

  • Requires flexible scheduling, including nights, weekends, and some holidays

  • Primarily on-site during events, with some pre/post-event coordination responsibilities

  • Ability to work in a fast-paced, dynamic live event environment

  • Physical activity is required, including lifting, walking, climbing stairs, and extended periods of standing in an outdoor environment year-round.
